AGM Summary and LMC Committee 2022

Thank you to everyone who came to the AGM last night, I think we had a very productive discussion.

While we wait for the official minutes, I have prepared the following summary of the items discussed and resulting actions.

Once again, a huge thank you to the outgoing committee members Hayley Smith, Joey Talbot, John Armitage and Kate Woodrow for their efforts through 2021.

Accounts Audit
Due to migration to a new system for managing the accounts, the audit for 2021 has not been completed. There are currently some discrepancies in the incoming payments (club account balance is £98 higher than expected). All outgoings have been accounted for. Thank you to Will for his patience while we work to resolve this. Once we have identified the discrepancies accounts will be resubmitted to Will for audit, and once this has been signed off as correct the members will be informed.

Online hut Booking System
This is now entering the final stages of testing and we are hoping to roll it out during 2022. We don't have an exact date for this but our aim is to have it fully functional for the autumn hut meets at the latest.

BMC Subs Increase
The committee agreed the club can absorb the cost of the 2022 BMC subs increase (effective form April) but asked to be allowed to increase subs for January 2023 in line with the BMC increase such that the amount of the subscription that goes to LMC will remain consistent with it's current value (£4.75 per person). The BMC increase for 2023 is not yet know, but will be announced by October 2022 and will be communicated to the membership in advance. The committee also asked if they could increase subs in future years in line with the BMC price increase, while keeping the LMC portion constant. Any increase the the LMC portion of the subscription will still require consideration at an AGM.
The motion to increase subs for 2023 was passed (31 votes in favour, 0 against)
The motion to give the committee authority for future increases in line with the BMC increase was passed (31 votes in favour, 0 against)

Walking Meets
There was a productive discussion on walking meets and some ideas were given to increase participation:
  • Advance reminders about walks (2-3 weeks suggested as a good time frame)
    Route information to be given in advance (distance, difficulty, terrain)
    Walks to be advertised on social media as well as bulletin board as many members do not use the bulletin board often
    Possibility of having two groups running from the same meeting point but pace/distance adjusted to suit faster and slower walkers
It was also noted that weather can play a part in popularity of the walks.

Bulletin Board
It was noted that the current bulletin board is based on very outdated software and is a barrier to participation for some
Members expressed a wish to continue using a bulletin board that should be separate from social media eg Facebook but should be based on modern software.
It was noted that it is likely not possible to migrate the current bulletin board contents to a new version
KW raised the issue of GDPR/Data protection and that standard archive periods would 1-2 years so it is not desirable, practical or legal to keep board contents indefinitely. It was also noted that the bb is a communication tool and is not intended as a club archive. A compromise was suggested where the old bulletin board could be kept in archive for some time after the new system is rolled out to allow migration of any trip reports etc to a new location.

Members present voted unanimously to change to a new, modern bulletin board.
